Q&A with Oleksii Kovalchuk

How does Arounda handle scope changes mid-project, and who is responsible when they happen?

Scope changes are normal. It is not normal to find them late or handle them informally. Every Arounda engagement has a dedicated project manager and a senior designer whose role it is to detect scope drift before it becomes a budget issue. When a modification request is received (either from the customer or from our own discovery), we document it, assess its impact on the timetable and cost, and acquire explicit sign-off before beginning work.

Operational responsibility is on me. If a project is going off track, I'll know about it before the customer. And I expect our lead designers to hold their teams to the same standards. This discipline has directly contributed to our 5.0 schedule rating in 80+ Clutch assessments.

How do you ensure the designer assigned to us is experienced enough for a complex enterprise product?

We have 50+ designers in-house, each with a defined level and domain profile. When a new engagement starts, I'm involved in the staffing decision. I match by industry exposure (Fintech, Healthcare, AI, Web3, Logistics, ConsumerTech, etc.) and product complexity. A healthcare dashboard engagement gets someone who has shipped healthcare dashboards before, not someone who has worked in fintech and is close enough.

How does Arounda ensure consistent delivery across different clients and project types?

  1. Arounda has structured onboarding. Every new project starts with a kickoff that aligns expectations on scope, timelines, and communication channels.
  2. We have clear delivery stages, milestone checkpoints, and communication cadences.
  3. Each project has a dedicated project manager and design lead who owns the outcome.
  4. Each team has internal review cycles, so feedback rounds stay focused and efficient.
  5. After each major milestone, we review what worked and what didn't, and feed that back into process improvements.

How do you adapt your process for clients who already have internal design or engineering teams?

  1. We work inside your tools (Figma, Notion, Jira, Slack). Our team joins your environment.
  2. We follow your design system or help you build one. If you have existing components and patterns, we extend them.
  3. We hand off cleanly. Every deliverable is documented to the standard your internal team needs to continue the work independently.

The VP of WordPress who worked with us described it as designers who "keep pushing forward and adapting to whatever the next request was." That adaptability is structural and reflects how we hire and how we onboard.

How quickly can you start a project, and how do you scale the team up as our roadmap changes?

We can start within 3-5 business days.

Scaling up

Adding a second designer or developer to an existing engagement takes approximately 2-3 days. We match from the same pool of 50+ specialists, so the new person already knows our quality standards and handoff norms.

Urgent work

We have internal surge capacity for quick response requests inside an active engagement (a launch schedule was bumped up, a key UX issue arose). We absorbed roadmap accelerations for clients such as Players Health while maintaining parallel workstreams.

The honest constraint about scaling up

Very large (5+ designers simultaneously) requires a lead time of 2–3 weeks for proper matching and onboarding. If you know a major initiative is coming, please tell us 3 weeks out, and we'll have the team ready.
